duely's scheduled jobs watch every dated obligation in the system. Each job checks the relevant records every day, creates calendar events and sends reminders before the deadline. When an obligation is overdue, the alert escalates to the AML/CTF compliance officer (AMLCO). The compliance calendar shows everything in one feed.
What's included
Compliance calendar view
One feed of every dated obligation across the firm: CDD reviews, training due dates, reporting deadlines, reliance reviews and program review milestones. Filter by type, owner or status.
Program review schedule
Every program obligation with a due date, and the tool to complete it. Effectiveness checks run quarterly by default, or every 6 or 12 months. The AMLCO reports to the governing body every 12 months. The independent evaluation is first dated from AUSTRAC enrolment, then due at least every three years. The program and risk assessment are reviewed at least every 36 months, or sooner when a trigger such as an evaluation finding or significant change requires it.
Expired identity documents
A daily check flags a customer whose latest verified identity document has expired while they have an open engagement, so the customer is re-verified before the work continues.
Training and PDD currency reminders
Daily jobs watch staff training and personnel due diligence (PDD) due dates. Reminders go out before a staff member's PDD expires. If it lapses, the Approver gate takes effect automatically.
CDD lifecycle reminders
Three jobs together watch customer due diligence: deadlines on individual engagements, baseline expiry for periodic review, and re-review triggers raised by changed risk answers or screening results.
Reliance partner monitoring
Two jobs flag periodic reliance partner reviews and reliance agreement expiry, so an s37 or s38 arrangement does not lapse unnoticed.
Reporting deadline tracking
SMR and TTR/IFTI/CBM submission deadlines are surfaced ahead of time. The 3-business-day SMR rule (24 hours for terrorism financing) and the 10-business-day transaction-report rules are tracked per record.
Escalating reminder cadence
Reminders go out at set intervals before each deadline. Once a deadline is missed, the overdue alert escalates beyond the assignee, first to the team lead and then to the AMLCO.
Daily digest delivery
An optional digest goes out once a day at 09:00 and summarises each user's upcoming and overdue items, so they get fewer separate reminder emails.
AML/CTF Act time-bound obligations
- SMR submission: 3 business days from suspicion forming, or 24 hours for terrorism financing
- TTR / IFTI / CBM submission: within statutory submission windows from the reportable event
- Independent evaluation: at least every 3 years
- AMLCO report to the governing body: at least every 12 months
- Customer ongoing due diligence: risk-proportionate periodic review
- Staff AML/CTF training: required and ongoing per the program
